What We Do
Three Services, Each Built Around Your Records
Whether you need a single heirloom catalogue, want to learn how to organise your own records, or are ready to digitize a full collection of family documents — we have a clear, priced path for each.
Back to HomeOur Methodology
How We Approach Every Engagement
Each of our services begins with the same foundation: a written agreement on what will be done and what will be produced. We do not start work without that clarity, and we do not consider a project complete until you have confirmed receipt of everything agreed.
The pace is set by you. We work in sessions that fit your schedule, communicate clearly at each stage, and produce outputs in formats that make sense to people who are not professional archivists.
Written Scope First
Every project starts with a plain-language document outlining what is included and what will be delivered.
On-Site Sessions
We visit your location in Bangkok for cataloguing and digitization — your items don't leave home.
Staged Progress
For longer projects, we check in at each stage so the work can be reviewed and adjusted before continuing.
Formal Handover
All projects close with a written handover checklist so there is no ambiguity about what was completed.
Service 01
Heirloom Cataloguing
Careful physical cataloguing and photographing of family items into a clear, organised inventory. Each item is reviewed individually, photographed, and given a written description covering condition, estimated age, and any notes you provide about its significance or history.
What's Included
- On-site session at your Bangkok home or office
- Photography of each catalogued item
- Written descriptions in a structured spreadsheet or document
- Delivered in formats suitable for sharing with family members
- No copies retained by Vellumate after handover
Typical Process
- 1 Initial consultation to confirm scope and schedule a session
- 2 On-site cataloguing session (typically half a day to one full day)
- 3 Inventory document finalised and delivered within five working days
Service 02
Estate Organisation Workshops
Informational group sessions on how to gather and arrange personal records and write down your own wishes clearly. Conducted in English in a small group setting, these workshops cover practical methods for organising paperwork, understanding what records matter most, and building a simple system that any family member can follow.
These sessions are educational and informational only. No legal, financial, or regulated professional advice is provided.
Workshop Contents
- Identifying and gathering the records that matter most
- Building a simple, sustainable filing system
- Writing down personal wishes in a clear, readable format
- Take-home checklists and templates for continued use
- Q&A session at the end of each workshop
Service 03
Records Digitization & Archiving
Scanning and careful archiving of family documents into an ordered, searchable set you keep full control of. Personal papers, photographs, land documents, certificates, and correspondence are scanned at high resolution, assigned consistent file names, and organised into a folder structure designed for straightforward navigation by non-specialist users.
What's Included
- High-resolution scanning of physical documents
- Consistent file naming and folder structure
- Delivery on USB drive or secure file transfer — your choice
- Written index of all archived files
- No copies retained by Vellumate after confirmed handover
Typical Process
- 1 Scope agreed — number of documents, folder structure, delivery format
- 2 On-site scanning sessions at your location (spread across visits as needed)
- 3 Archive assembled, reviewed, and formally handed over with a written index
